As the office manager, you are the heartbeat of our clinics. They schedule sessions, communicate with families, manage session cancelations, plan events, and work closely with the Clinical Director to ensure the clinic operates smoothly.

Responsibilities
Manage the clinic schedule by coordinating client sessions, assigning appropriate staffing, and adjusting for cancellations.
Adjust schedule to facilitate for staff or client call-outs.
Assist the Clinical Director by managing clinic processes and protocols in the Practice Management System.
Conduct reports and audits as required (ex: conversion audits & signatures).
Greet families with a positive attitude and answer any questions during pick-up and drop-off.
Ensure client/family satisfaction, including escalating complaints to the Clinical Director.
Report and troubleshoot relevant clinic issues including site maintenance, with assistance from the Support Center.
Assist the Clinical Director with coordinating team engagement including:

- Team building events / celebrations
- Community engagement / outreach
- Welcome activities for new team members
Act as a fill-in RBT as needed in the clinic.
Qualifications
1+ year(s) of medical administrative experience (ABA experience or a behavioral health field a plus).
Associate Degree (or higher) in Healthcare Administration or Business is preferred but not required.
Strong communication and customer service skills.
Previous medical billing and electronic medical records (EMR) experience is preferred.
Confident phone etiquette, professional email writing, and strong interpersonal skills.
